Structural authorizations have a so-called root object, i.e. a starting point and an associated evaluation path. The organization chart of the company is stored in SAP HCM. This makes it possible to see how which positions are linked to each other. If a specific piece of information about an employee is required, it can be read out via a path. The chapter on authorization recertification should also be defined in the authorization concept, which is documented in writing. This refers to a regular review of the assigned authorizations in the SAP® system, to be performed at least once a year. In the course of this process, the responsible departments should review the assignment of the respective roles to users in their area and critically scrutinize it once again. This process ultimately ensures that users only have the authorizations in the SAP® system that they actually need. It must therefore be defined in which time period and in which form the departments must receive the information about the assigned authorizations and report back regarding the correctness of the assignment. During preparation, it is therefore necessary to check whether the process has been carried out in accordance with the internal specifications, but also in accordance with possible suggestions for optimization made by the auditor, and whether all the evidence is stored ready to hand for the auditor.

It is best if the persons responsible for the system develop role descriptions with their departments in advance and document them outside SAP SuccessFactors (e.g., as in Fig. 2). In case of queries, they can use this basis to explain exactly why someone has been given a certain authorization. The role descriptions and the report help to work in a DSGVO-compliant manner. Since the report updates automatically, companies have no additional effort to document the changes - one less unloved (and often "forgotten") task.

Two equal permissions that meet the first maintenance status condition are also combined when all the values of the two permissions differ in one field or when a permission with all its fields is included in the other. However, if there are open permission fields in a permission, they will not be combined unless all permission fields in the permission values are the same.

For the assignment of existing roles, regular authorization workflows require a certain minimum of turnaround time, and not every approver is available at every go-live. In this security policy, you then set the policy attribute SERVER_LOGON_PRIVILEGE to 1.
